

SWE-LA Organization Chart and Officer Descriptions
President
The President presides over business meetings, represents the section before the public, focuses on section direction and development, supports and manages the Executive Board and Executive Committees. At a minimum, the President facilitates regular business meetings and the annual planning meeting. She also appoints the chair of each Standing Committee and Special Committees. The President is the presiding officer for the Awards committee and Bylaws committee. Vice President
The Vice President shall perform any duties and assume any other responsibilities assigned by the President, assumes the duties of the President if the President is temporarily absent or unable to serve and will succeed to the office of President if there is a vacancy in that office. The Vice President main responsibility is to be the advocate for the members and ensure their needs are met through our programs. The Vice President will take over the membership responsibilities as well as be the presiding officer for Monthly Member Meetings, Technical Tours, Area Socials, and Bylaws. Treasurer
The Treasurer shall manage all organizational funds. The Treasurer maintains checking/ savings accounting records, develops and tracks budget, and creates financial strategies, files taxes and prepares/submits the annual financial report. The Treasurer works with the corporate support director to send out annual Corporate Support Donation letters. The Treasurer shall have the checkbook on hand at EC Meetings and General Meetings as a payment method for items that have been approved by the EC Board. The Treasurer is the presiding officer for the Corporate Partners, Annual Banquet, Scholarship Program and the Industry Advisory Board. Secretary
The Secretary is the communication focus of the Section. Responsibilities include maintaining the Section's records and supplies, recording and distributing monthly executive committee meeting minutes, maintaining the EC roster, listserv and other distribution lists. The Secretary distributes minutes to meeting attendees for redlines within one week of the meeting, and sends the corrected version of the minutes to the entire EC within 2 weeks of the meeting. The Secretary is the presiding officer for External Affairs, including Awards, Website, Communications, and the Historian. Section Representatives
The Section Representatives are the link between the SWE-LA Section and the Regional and National organizations. The Section Representatives are voting members of the Council of Representatives, attend Regional and National business meetings, provide quarterly Section reports to Nationals and keep the Section abreast of any Regional and National news. A Section is allowed one Section Representative per 100 paid members. Section Representative 1 is the presiding officer over Education including E- Week, Girl Scouts Day, Certificate of Merit, Essay Contest and Outreach Section Representative 2 is the presiding officer over Diversity and Inclusion including the Professional Development Conference and the Engineering Society Representatives. Section Representative 3 is the presiding officer over College Relations and the College Counselors. Annual Banquet Chair
The Annual Banquet Chair is responsible for coordinating and executing the Annual Banquet, typically held in the fall, which entails determining theme, keynote speaker, facilities, program book, corporate support, and coordinating volunteers. This position requires attendance at most monthly executive committee meetings and close communication with the President and Treasurer. Area Social Chairs
The LA Area Social Chairs, also known as Lunch Social Coordinators, provide the important function of gathering members together in geographic area for social networking. Our most popular area social function is the area lunch social. We currently have monthly lunch socials in South Bay, San Fernando Valley, Santa Clarita, and San Gabriel Valley. Awards Chair
The Awards Chair assists in nominating and preparing awards packages to recognize and honor our accomplished SWE-LA members. Every year SWE-LA submits nomination packages for SWE National Awards and awards from other organizations alike. SWE-LA has had a long history of national award recipients. Bylaws Chair
The Bylaws Chair is responsible for keeping the SWE-LA bylaws up to date and aligned with the National Bylaws. The Bylaws Chair is also called upon to advise the section on SWE protocol and matters of business conduct. The Bylaws Chair should also assist in the nomination of the Elections Committee and the process of elections. Certificate of Merit Program Chair
The Certificate of Merit Program Chair facilitates this program which recognizes young woman for their contributions and studies in science and engineering. The Certificate of Merit Program Chair distributes information packets to LA area schools, collections submissions, oversees the selection committee, and awards Certificate of Merit to deserving recipients. College Relations Chair
The College Relations Chair is the link between the Professional SWE-LA Section and the seven University Sections we support; Cal Poly Pomona, Cal State LA, Cal State Northridge, Caltech, Harvey Mudd, Loyola Marymount, UCLA, and USC. Responsibilities include organizing the Annual Student Summit, operating the SWE-LA Student Upgrade Program, inviting student members to SWE-LA events, coordinating with the Scholarship Program Chair, assisting Collegiate Sections in finding Advisors and Counselors and providing support in general. Collegiate Section Counselors
The Collegiate Section Counselor is a professional member of the section elected to be the collegiate section's Counselor each year. In addition to being a SWE member in good standing, the Counselor shall be considered a non-voting member of the Collegiate Section and a voting member of the professional section. The Counselor is responsible to the Board of Directors, through the Region Collegiate Interest Representative and Collegiate Interest Committee Chair, for the Collegiate Section's compliance with the Society Bylaws and its policies and procedures. Communications
The Communications Chair is vital in providing information to our membership and to potential new members. Responsibilities include compilation of the monthly SWE-LA newsletter; soliciting and collecting timely news and event information from the Executive Committee, posting the newsletter electronically on our website and inform the membership by email when it is ready for view, keep current program, event, and activity information on our website, as well as current contact information for all SWE-LA Executive Committee Members. This position requires attendance at most monthly executive committee meetings and close communication with the Secretary. Corporate Partners Director
The Corporate Partners Director develops and sustains important relationships with our SWE-LA corporate partners. She creates and distributes the SWE-LA Business plan to our corporate contacts every fall, inviting them to support one or more SWE-LA programs. She is the primary driving force in the solicitation of funds for our Annual Scholarship Program. The Corporate Support Chair also assists in recognizing our Corporate Supporters at the Annual Scholarship and Corporate Recognition Program, and helps to maintain the Corporate Support information on the SWE-LA website. Diversity Issues Chair
The Diversity Issues Chair is responsible for working to make SWE-LA an inclusive organization. She is responsible for organizing at least one Diversity focused event each year. She helps to forge relationships across multiple organizations and organize joint meetings. She works with other committee chairs to ensure events for the Section embrace the diversity of our membership. Major focus groups for SWE-LA are Aerospace Women's Organizations and Los Angeles Sections of Minority Engineering Organizations such as SHPE and NSBE. Recent popular Diversity Events included the Aerospace Women's Organization Luncheon, which included leadership from Women's Organizations at Boeing, Raytheon, Northrop Grumman, and the Aerospace Corporation, and also the Professional Development Conference and Best Practices exchange between the leadership of SWE, SHPE and NSPE Los Angeles Professional Sections. Essay Contest Program Chair
The Essay Contest Program provides the opportunity for students to perform research on women who have made contributions in science and engineering and recognizes winning essays with awards. The Essay Contest Program Chair distributes information packets to LA area schools, collections submissions, oversees the selection committee, and coordinates volunteer school visits for presentation of awards to recipients. Girl Scout Chair
The Girl Scout Badge Day Chair organizes and executes the Annual SWE-LA Girl Scout Badge Day which promotes science and engineering to girl scouts in middle school and high school. Historically this has been a very popular event for SWE-LA, often with over 100 girl scouts and a large number of SWE-LA professional and student volunteers involved. The Girl Scout Badge Day Chair works with local Girl Scout Councils for event promotion, secures an event location, recruits volunteers, holds a volunteer training and facilitates activities on the day of the event. Historian Chair
The Archives Chair is the Historian for SWE-LA. In addition to documenting current history the she has over 50 years of SWE-LA history to manage. We have a storage shed full of pictures and mementoes which we have been in the process of digitally archiving over the last 3 years. The Archives Chair also periodically posts noteworthy items to the web. Outreach
This chair position is the focal for all K-12, and high school student Outreach Programs and Committees. She is responsible to organize and plan activities that provide an opportunity for our members to give back to the community and to increase community awareness of SWE. Professional Development Conference Chair
The Professional Development Conference Chair is responsible for coordinating and executing the Annual Professional Development Conference, typically held in the spring or summer, which entails determining conference theme, workshops, speakers, facilities, program book, corporate support and coordinate volunteers. This position requires attendance at most monthly executive committee meetings and close communication with the Diversity & Inclusion and Section Representative 2. Programs Chair- Monthly Member Meeting
The Programs Chair organizes speakers and facilities for the general meetings. This position requires attendance at most monthly executive committee meetings and close communication with the Membership Director and Vice President. Programs Chair - Technical Tours
The Programs Chair organizes technical tours, and social events. This position requires attendance at most monthly executive committee meetings and close communication with the Membership Director and Vice President. External Affair
The External Affairs chair is outgoing person responsible for promoting and increasing the awareness of SWE-LA, its events and activities to the public. She organizes and helps to SWE-LA staff booths at conferences such as the California Governors Conference for Women and SWE National Conference. The External Affairs Chair is also responsible for informing our Corporate and Engineering Organization contacts of pertinent SWE-LA events and activities. Scholarship Program Chair
The Scholarship Program Chair manages all the aspects of the SWE-LA Scholarship Program, which awards scholarships to female engineering students attending schools in the LA area. The chair prepares the Scholarship Application Package and distributes it to SWE student sections and SWE-LA members. The chair creates a Scholarship Committee and coordinates their efforts to interview all the applicants and select the recipients. Finally, the chair notifies the applicants of the selection results and invites the scholarship recipients to the SWE-LA Annual Scholarship and Corporate Recognition Banquet. The Scholarship Chair works closely with the Corporate Support Chair to obtain corporate donations to fund the Scholarship Program, and with the Annual Banquet Chair to plan the reception where the scholarship awards are presented. The responsibilities of this position can be successfully met from a distance and do not require attendance at monthly EC meetings. The time commitment averages about 2 hours a week, but during the busier months (January, April - July, September - October) this can increase to 5-10 hours per week.
